Staff Entry of Attendance, Activities and Signatures
Preparation and Internal Use
- Are pen and paper sign in sheets available if we run into delays with the mobile app transition?
- Yes, print the Attendance > Blank Sign In/Out Sheet whenever needed. Manual entry of attendance data will be required via the web or mobile app by staff, and parents will then confirm and sign for all staff entries upon their first login.
- Do we have to allow parents to use their own device or can we use only the Parent Kiosk? Do we have to enable the Parent Kiosk or can we only allow parent devices?
- Parent device registration and use of the mobile app, as well as use of the Parent Kiosk, are optional. Select the functionality that works best for your internal process or use both. However, not all families will have access to a mobile device and contacts/pickups cannot register for CareConnect Family, so the Parent Kiosk is their digital attendance capture option. - Remove the QR Code from the mobile app Parent Kiosk in the web via Admin > Sites > Setting or in the mobile app via Sign-In > Parent Kiosk > Settings to toggle Contactless Attendance Off.
- Offering the convenience of the CareConnect Mobile app will give parents the ability to pay tuition online, receive shared Moments, manage contacts and pick up persons, report absences and receive/send messages with staff.
Configuration and Access
- How do staff login to CareConnect Mobile?
- Admin will provide staff with CareConnect user web credentials to login to the mobile app even if they never login to the web version. This means they will need to have an Admin > User record created with site access and permissions configured. Staff will login to the mobile app to access student attendance entry and family record data and/or to display the Parent Kiosk screen. See CareConnect - Configuring Staff Access
- Since family/student data and schedules are accessible, can we prohibit staff from entering or editing this information?
- Yes, on the web in the Admin > User > Roles page, confirm that the Students role is set to View Only. If desired, select the Admin > Users > Roles > Messaging setting to enable messaging while prohibiting family record editing.
- Since student attendance data is accessible, can we prohibit staff from entering or editing this information?
- Yes, if the web Admin > Users > Roles > Attendance > View Only setting is selected, staff can view but not edit or enter attendance data. If desired, select the Admin > Users > Roles > Messaging setting to enable messaging while prohibiting attendance entry.
- In the mobile app left hand corner hamburger menu, select to enable or disable the Enable Data Overwrite setting.
- Can parents access provider screens on the tablet device?
- Yes, staff should lock tablets so parents cannot access provider screens. Do this in the tablet device via the Settings > Sign In > Lock toggle. See CareConnect Provider (Mobile) - Home Overview.
- Staff PINs will be required to unlock tablets.
- Is there an offline mode in case our location drops Wi-Fi or internet access?
- Yes, in the mobile app left hand corner hamburger menu, select Offline and toggle On. Data captured offline will be stored and become available in the web version of CareConnect when internet access is restored to the device. See CareConnect Mobile - Offline Mode.
- Can we configure the QR Codes to expire?
- Yes, set the QR to expire daily in the web by configuring the Admin > Sites > Settings > QR Code Type field or in the mobile app from the Home > Sign In > Parent Kiosk > Settings > Contactless Sign In Type field. Set these fields to Static to never expire the code; use Dynamic to expire the code daily. Dynamic setting means if the agency is printing the QR Code out on paper, this will need to be done daily.
Staff PIN Use
- Is staff PIN use required? What is the staff PIN used for?
- No, staff PIN use is not required. If desired, set user and device configurations including Sign In by Staff Requires PIN in the mobile app. Under the left hand corner hamburger menu, click the Sign In tab. Enable this setting if a generic login is used, or multiple staff share the same tablet, in order to track the specific operator that made the entry and not the tablet's user login name.
- If enabled, the staff PIN requirement displays when attendance is entered for a student and the user will be prompted to enter their PIN when attempting to Save.
- Staff PINs will not grant access through the Parent Kiosk PIN pad.
- Staff PINs will be required to unlock tablets.
- Can staff locate their own PIN in the mobile app?
- Yes, under the left hand corner hamburger menu, click the pencil icon next to the user name and the first row will identify the Staff PIN. See CareConnect Mobile - Where Can I Find the Staff PIN?
- Can center/classroom staff share PINs?
- Any valid PIN entry will allow access; however, sharing is not recommended since each PIN is attached to the specific parent or staff record. To capture the correct name to match the signature or identify the specific user in the log entry, individual PINs should be used.
- If a generic login is used for the tablet , or when multiple staff share the same tablet, the Sign In by Staff Requires PIN setting should be enabled to capture the attendance operator and not the tablet's user login name. See #1 above for steps to enable this setting.
Staff Entry of Attendance, Activities and Signatures
- Can we capture a parent signature if a staff member makes an attendance/absence entry?
- Yes, the parent is prompted at the next sign in event to confirm and sign for all staff entries. The parent signature then overrides the staff signature for reporting purposes. See CareConnect Family Mobile - Confirm Attendance.
- Staff can also reset a parent signature or request confirmation through the web via Attendance > Daily > Review. See CareConnect - How to Request or Reset the Parent Signature.
- How do we track activities such as health checks, daily learning tasks or meals in CareConnect mobile?
- In CareConnect web, configure the Admin > Attendance > Activities tab to enter health check, meal or activity labels for attaching to students during the day via the mobile app in the classroom or the web when editing attendance. Confirm users do not have View Only access to the Attendance module. See CareConnect Web - Configuring Attendance and CareConnect Mobile - Log Activities
- Can staff enter attendance or assign one or more activities to a group of students at once?
- Yes, students can be assigned one or more activities one at a time or in a group batch. See CareConnect Mobile - Group Attendance and Activity Mode
- Are reports available to print signatures and capture student attendance/absence, meal or activity counts?
- Yes, see CareConnect Web - Attendance Reports
- Run attendance, activity or meal count reports in the web via Attendance > Weekly or Monthly > Review > Weekly or Monthly Attendance.
- Can staff view a count of how many students are enrolled, absent, attended or incomplete?
- In the CareConnect web Home screen, view children listed as All, Signed In or Signed Out in the mobile app by clicking Sign In > Attendance and Activity. See also #6 below.
- Why do staff see students listed in the mobile app who are no longer enrolled or in their classroom?
- Currently any student that has active or inactive schedule dates in the chosen classroom will appear under the Sign In screens. A future release will remove students with inactive schedules.
Family Access and PIN Use
- If parents already have a CareConnect Family account do they need to be invited to register?
- If the family already has an existing or previous enrollment with your agency = No, families that have a CareConnect Family account can download the app and log in with their web credentials, or access attendance activities with their existing CareConnect Family app.
- If the family already has an existing or previous enrollment with another agency that uses CareConnect = Yes, in order to be linked to you as a provider, they will use the invitation code sent to connect to your agency with their existing account using the Add Connection option in the upper right of the home page.
- Can we batch or individually invite parents to download the app on their personal device?
- Yes, batch or individually invite parents on Students > Parent Accounts so they can use their mobile device for attendance/absence capture. See CareConnect Mobile - Invite Parent
- For family account creation assistance, share CareConnect Family - Receiving an Invitation to Connect with a Program
- When inviting parents, what does the Online Status of Invite vs. Re-Invite mean?
- Invite means the parent has not yet been invited to create an account in CareConnect mobile. Re-Invite means they have been invited, but have not yet registered. If an email or phone number is displayed, the parent has registered the login credential of their device.
- If a parent forgets their PIN are staff able to provide it to them?
- Yes, staff can view or send via email/text the parent PIN. Staff can also regenerate the PIN if a parent requests a new one. - Can parents share PINs?
- Any valid PIN entry will allow access; however, sharing is not recommended since each PIN is attached to the specific parent or contact record. To capture the correct name to match the signature or identify the specific user in the log entry, individual PINs should be used.
- Since we cannot send invites to Contacts/Pickup persons, how do they sign students in and out or retrieve their PIN?
- Family Contacts and Pickups have PINs assigned in their record. Since they cannot register for CareConnect Family access, staff will select to share verbally, or Send/Re-PIN via text from the web version or mobile app to the pickup. View and send family member PINs in the mobile app on the Home Screen > Students > Profile > Contacts list.
- Once they are made aware of their PIN, contacts/pickups will use the Parent Kiosk PIN pad to make attendance entries.
- If we allow parent personal device use, can parents make attendance transactions from locations other than the site/classroom?
- Parents can send/receive messages, retrieve/submit documents or report a student absent from any location without use of the QR Code. Parents cannot sign students in or out without being at the site/classroom and scanning the QR code. Do not share or pass out QR Codes; they are made available for parent device use on the Parent Kiosk screen along with the PIN pad.
- Can families pick up each other's child/ren?
- Yes, in the CareConnect web family record under Contacts/Pickups, select to link families via the Shared Pickups feature. In the mobile app, select Students > Profile.
