Once a Provider record is created with the Provider Type as a licensed provider, CareControl will display a dedicated “Holidays” Tab for your tracking of their closure days.
If a Provider record you're looking to add or update the non-operational days for does not have this "Holidays" Tab available, consider changing the Provider Type.
Adding a new Holiday
When a Provider sends you their closure days or holidays for the Fiscal Year, the “Holiday” sub-tab within the “Holidays” Tab is where you can start adding them into CareControl.
- If the Provider is observing the same standard holidays as your Agency, checkmark the option to Follow Agency Standard Holiday Schedule.
- This will auto-populate a view-only list of all standard holidays observed by your Agency for the selected Fiscal Year, which the current Provider will also follow.
- If the Provider is not observing the same standard holidays as your Agency, click Add (plus sign icon on the right side) to start adding each of the closure days after selecting the Fiscal Year:
- When adding each closure day or holiday for the provider, specify the Holiday name, Holiday date, and whether or not the Provider is to be reimbursed for the holiday.
- Click Save to save that single holiday entry, or click Reset to re-enter the information.
Adding a new Holiday Rule
When a Provider has a standard holiday schedule that they are following every year (but are different from the Agency’s standard holidays), you may set it up for that specific Provider under the “Holiday Rule” sub-tab within the “Holidays” Tab.
- Click Copy to quickly copy the list of holiday rules from your Agency’s Standard.
- This will populate the list of your Agency’s Standard holiday rules where you may view and modify further to fit this Provider’s.
- Click the hyperlinked Holiday Rule Name to view its details.
- Click Edit to modify the Rule to fit this Provider, including:
- Holiday Name
- Rule Type: This is to specific how the holiday is to be generated, either:
- Fixed: such as a holiday that is always the same yearly like New Year’s Day.
- Vary: such as a holiday that is different yearly like Memorial Day.
- Rule Details with Month and Day: This is to specify the date of the holiday.
- Use Friday Monday if Weekend: This is to make the holiday default to the closest business day if it falls on a weekend.
- Is Paid: This is to specify if the Provider is to be reimbursed for the holiday.
- Click Void if this Holiday Rule is not applicable.
- Click Edit to modify the Rule to fit this Provider, including:
- Click Add to specify a specific Holiday Rule for this Provider.
- Once a set of Holiday Rules are added for the Provider, access the "Holiday" sub-tab to generate the list of Holidays based on the set of Rules added.
❗️IMPORTANT: At the beginning of each fiscal period, CC4 will automatically use these holiday rules to generate the provider's holidays for the new year.
