Overview
The Family Fee Schedule Projection Report helps agencies identify families whose assessed family fees may change when a new family fee schedule takes effect.
The report compares each family’s current full-time and part-time family fees with the amounts calculated under a selected family fee schedule. It can be used to identify fee increases, decreases, stopped fees, and families whose fees will remain unchanged.
Why Use This Report?
When a new family fee schedule is introduced, agencies may need to review active families and determine whether their fees should be updated.
This report helps staff:
- Identify families affected by a new family fee schedule.
- Compare current fees with projected fees.
- Prepare for upcoming fee changes.
- Contact families when advance notice is required.
- Review family income records before updating fees.
- Confirm that families are assessed using the correct fee schedule.
The report is intended to support the review process. Staff should confirm the family’s information before making changes to the family’s record.
What Is Included in the Report?
The report includes active family income records that overlap with the selected As of Month.
Each child and Site/Provider combination appears once. A child attending more than one Site/Provider may appear on multiple rows.
When projected fees are calculated, the report does not consider Cash Aid or Fee Waiver information.
How to Run the Report
1. Select a Site or Provider
Choose one or more Sites or Providers.
This field is required. Only families associated with the selected Sites or Providers will appear in the report.
2. Select a Period
Select a care period to limit the report to families receiving care during that period.
This field is optional.
3. Select a Program
Choose one or more care programs to limit the report results.
This field is optional.
4. Enter a Family ID
Enter one or more Family IDs to search for specific families. Separate multiple Family IDs with commas.
This field is optional.
5. Select the New Family Fee Schedule
Choose the family fee schedule that should be used to calculate the projected fees.
This field is required. Only one family fee schedule can be selected at a time.
The selected schedule determines the amounts shown in the following columns:
- Projected FT FF
- Projected PT FF
Choose the schedule that corresponds with the fiscal year or effective period you are reviewing.
6. Select the As of Month
The As of Month determines which family income records are reviewed.
The field defaults to the current month. The report includes family income records whose effective dates overlap with the selected month.
For example, selecting July 2026 allows staff to review the family income and fee information applicable during July 2026.
7. Select a Change Type
Use the Change Type filter to display families based on how their current fees compare with the selected family fee schedule.
Available options include:
- Increase
- Decrease
- Stop
- None
You may select one or more change types.
When no change type is selected, the report displays all available results, including records where a change type could not be determined.
Understanding the Change Types
Increase
An Increase indicates that the family’s projected full-time and part-time fees are higher than the current fees.
This means the new family fee schedule may result in a higher family fee.
Decrease
A Decrease indicates that the family’s projected full-time and part-time fees are lower than the current fees.
This means the new family fee schedule may result in a lower family fee.
Stop
A Stop indicates that the family currently has a full-time or part-time fee greater than $0, but both projected fees are $0.
This means the family may no longer be required to pay a family fee under the selected schedule.
None
None indicates that the current and projected fees do not result in a qualifying increase, decrease, or stopped fee.
This category also includes families whose current and projected full-time and part-time fees are all $0.
Blank Change Type
The Projected Change field is left blank when the fee comparison does not meet one of the report’s defined change conditions.
Staff should review these records individually.
Understanding the Report Results
Family and Child Information
The report provides information to help staff identify and contact the family, including:
- Family ID
- Student name
- Site or Provider
- Family name
- Address
- Unit
- City
- State
- ZIP Code
- Parent A email address
- Parent A cell phone
- Parent A home phone
- Program
The student name may be selected to open the family’s detail page.
Family Income Information
The report displays the family income information used for the comparison, including:
- Effective Month
- End Month
- Family Size
- Monthly Income
- Current Full-Time Family Fee
- Current Part-Time Family Fee
Projected Fee Information
The report also displays:
- Projected FT FF: The full-time fee from the selected family fee schedule.
- Projected PT FF: The part-time fee from the selected family fee schedule.
- Projected Change: The expected change based on the comparison between the current and projected fees.
How the Results Are Organized
The report is sorted in the following order:
- Family ID
- Student name
- Site or Provider name
Each child and Site/Provider combination is displayed only once.
Recommended Review Process
After running the report:
- Review the family’s current income, family size, and effective dates.
- Confirm that the correct family fee schedule was selected.
- Compare the current and projected full-time and part-time fees.
- Review records with a blank change type individually.
- Confirm whether notices or other agency actions are required.
- Update the family’s record according to your agency’s procedures.
Important Considerations
- The report provides projected fee information and does not automatically change a family’s assessed fee.
- Select the correct fee schedule and As of Month before reviewing results.
- Confirm the family’s current information before making any updates.
- Cash Aid and Fee Waiver information is not included when projected fees are calculated.
- A family may appear more than once when a child is associated with multiple Sites or Providers.
