CareConnect's Billing module includes a Transaction page that lists all payments and invoices for all families. You can also send invoices or allocate payments, or even offer refunds if needed within this page. This guide will show you how to:
- Transactions Navigation
- Manage Invoice
- Manage Payment
To locate the Transactions page, click on Billing → Transactions.
1. Transactions Navigation
- ID Column: This is the ID of the transaction whether it is an Invoice or a Payment; it is also a hyperlink that allows you to view the details of each transaction
- Recipient Column: This is the recipient attached to the specific Transaction. Click on the recipient name to go into view their Family Ledger
- Actions: This is a quick action for the Transaction
- If the Transaction is an Invoice, the action is to Send the Invoice to the recipient
- If the Transaction is a Payment, the action is to Send Payment (receipt) to the recipient
- Other Columns: These provide detailed information about the specific transaction including send/due post dates, Items description, site, status, and amount
- refreshes the Transaction page without losing the chosen filters
- is a column chooser where you can choose which columns to be seen on the plans page
- searches by transaction ID and recipients
- filters the transactions by date periods and sites
- filters by Invoice Status, Payment Status, and Recipient (All, Parent Transactions, Third Party Transactions); by default
- Invoice Status is filtered by Pending, and Partial Paid
- Payment Status is filtered by Received, Partial Processed, Processed
TIP: If you want to find invoices/payments with different statuses, you can add more status filters.
2. Manage Invoice
If you need to edit or update an invoice, you can access the Invoice details by clicking on the Transaction ID of that invoice. When viewing invoice details, you may:
- Edit: update the invoice details
- Get Payment: charge the parent's card information from the student profile
- Send: options to send notifications to the recipient of the current invoice, invoice past due, or invoice due via email or text
- Print: print/download the invoice
- Back: exit the invoice details page to go back to the transactions page
3. Manage Payment
If you need to edit or update a payment, you can access the Payment details by clicking on the Transaction ID of that payment. When viewing payment details, you may
- Edit: allocate the amount to other invoices or void payment
- Send: send the payment receipt to the recipient via email or text
- Print: print/download the payment receipt
- Back: exit the payment details page to go back to the transactions page
