There are several built-in reports available in CareCloud to manage all billing-related information for your program that are:
- Aging Invoice Per Site
- Deposit Detail by Program
- Deposit Detail by Post Date
- Deposit Summary by Site Program
- Failed Online Payments Per Site
- Family Current Balance
- Family Ledger by Post Date and Program
- Monthly Revenue Per Site
- Online Payment Details Per Site
- Parent Annual Payment Receipt / Third Party Annual Payment Receipt
- Print Receipts
- Tax Letter
Each of the reports listed above can be printed or exported as a PDF and/or Excel spreadsheet file. To find these reports, navigate to Billing Module --> Select Reports to the drop-down menu. Below are more details for each:
1. Aging Invoice Per Site
This report allows you to query for any past due Invoices for a specific program(s) based on their aging (due) date. You can use this report to find out all families with all past due invoices summarized with a Balance Total for the number of aging invoices per site.
2. Deposit Detail by Program
This report allows you to query all deposits (payments) for a specific program within a specific posting period. The results will be a detailed listing of each payment.
This report can filter by different types of programs (ex: CCTR, CSPP, PP-TR, etc) for all the families. If you have chosen many programs when generating this report, then the information will be presented in multiple pages filtered by families' programs.
3. Deposit Detail by Post Date
This report allows you to query all deposits (payments) for all programs within a specific posting period. The results will be a detailed listing of each payment. This report provides similar details as Report 2. Deposit Detail by Program is above, but the difference lies in how the report is being sorted/filtered.
4. Deposit Summary by Site Program
This report allows you to query all deposits (payments) for all programs within a specific posting period. It provides summary information the reports 2 and 3 above. This report provides the total amount of deposits made based on programs and a total for the Previous YTD (Year to date), Report Month vs. current fiscal YTD.
5. Failed Online Payment Per Site
This report summarizes the failed payments made by parents within a certain posting period and chosen site(s). For any payment made online, that is not processed successfully, you and the parent will receive an email for failed online payments. However, if you've not been checking your email and need to see a list of failed online payments, you can use this report to track the failed payments.
6. Family Current Balance
This report allows you to query for a list of all families' current balances per site. This balance information can be found under each family's ledger, but with the Family Current Balance report, you will be access all families' balances together based on the family status and chosen sites.
7. Family Ledger by Post Date and Program
This report gives the list of all family transactions for invoice or/and payment transactions during a specific period. You can filter this report by type, site, program, and transaction type for a detailed summary of chosen family's family ledger. This report is helpful when you need to see all the families' family ledger information together instead of going into the individual family to find the transaction information.
8. Monthly Revenue per Site
This report allows you to find the revenue for each site and program for a certain month period. This report is helpful when you see what revenue will be projected. For example, if you have recurring invoices for families, you can project the revenue for a certain month period with this report.
9. Online Payment Details per Site
This report provides a summary of all payments that are made online by the parents. You can filter this report by posting periods and sites. If you need to see all the deposit amounts, transaction fees, or information relating to online payments for families, you can access this report for a summary. In this report, you can either view all the transactions in detail or click on the total tab to see an overview of the amount based on sites.
10. Parent Annual Payment Receipt / Third Party Annual Payment Receipt
This report allows you to print out all the annual receipts for families in all selected sites and payment methods. If parents request the receipt for a certain period, you can use this report to generate all the past payments that they have made.
11. Print Receipts
This report allows you to batch print receipts in report format. This report includes all payments from cashier checks, online payments, or cash payments received. If families need more details for each of their payments, you can use this report to provide elaborated payment information compared to report 10.
12. Tax Letter
This report shows the date period and amount paid in childcare payments organizations as a Grand Payment Total Amount used for tax purposes. This report is generally used for tax purposes and if parents need them, you can batch-print all the tax letters for their payments made.
