Terminating a Single Child from Care
When a child is no longer eligible for care, for example, if they reached 13 years of age at recertification or are moving out of state, you can terminate their active care in CareControl 4.
-
From the Care Schedules tab, select the dropdown menu on the far side, and click Change Care End Date.
-
From the first step of the wizard, enter the new End date of Care, and then press Update.
-
The system will then walk you through the process of both voiding out and updating payments assigned to care, as well as Family Fee assignments, based on the new end date provided.
-
If you are terminating this care to change to a different provider, you can now simply create a new child care schedule under the new provider. Make sure to additionally generate an NOA for a Change in Service to the family, a Certificate for Disenrollment from Services to the old provider, and a Certificate for Start of Services to the new provider. Otherwise, continue to the next step.
-
-
Navigate to the child’s information under Details.
-
Change the Status to either Pending Term or Terminated. Pending Term is for when the termination will be happening in the near future.
-
Adjust the End Date to match the end date for the care schedule.
-
-
Generate a NOA to send to the family within the Notices and Appeals tab. Be sure to select the Action as Termination of Service. Generate a Certificate of Enrollment under the same tab to inform the provider of the Disenrollment from Services.
-
Do a Self Review in the Terminated case in order to ensure that everything was ended correctly.
