This article will cover how to add a Family record to CareControl from the waitlisted applications. If the family is referred to your program outside of the waitlist, you may add the family directly instead.

Within the Family Module, click New Family from CareWait to start the process.

1. The first step is to enter the Application ID you wish to enroll from your CareWait into CareControl.

   
2. CareControl will complete a search from the application info against all family records to check whether or not the family being added already exists:
   1. If there are potential matches to the application, they will be listed for your review:
      1. To the left will be the application details as seen in CareWait, and to the right will be the potential family records that exist in CareControl.
         
      2. Each potential family record will be displayed in a grouped listing with all children in the family. Click the child’s name hyperlink to open and review the existing family in detail and to compare it with the application.
         1. If the application enrolling is one of the potential families:
            1. Click to select that family record → Click Use Selected.

            2. You will be directed to a confirmation page to confirm:
               

               1. if the family information from the CareWait application are to overwrite the existing family info. Uncheck if no.
               2. if the children information from the CareWait application are to overwrite the existing family info. Uncheck if no.
            3. Click Next to proceed with the enrollment case creation:
               1. Select Select Case to re-use one of the existing enrollment cases for the family.
                  
               2. Select Add Case to add a new enrollment case for the family. From here, specify the Funding Source where the family will be enrolling under, whether CDSS or Stage 1.
               3. Click Submit once done, which CareControl will redirect you to that family record for the next steps to determine the family eligibility and enrolling into the subsidized child care service program.
         2. If the application enrolling is not one of the potential families:
            1. Do not select any family record → Click directly to Add New.
            2. CareControl will automatically create the family record using the basic family, parent, child details captured from the CareWait application. You will be directed to a final step to create an enrollment case for the family. Specify the Funding Source which the family will be enrolling under.
               1. When selecting a specific Funding Source, the details for the enrollment case will differ for the program designation.
               2. When either the CDSS or Stage 1 Funding Source is selected, enter all necessary information required and available for the enrollment.
               3. Click Submit once done, which CareControl will redirect you to the newly created family record with the Family ID automatically assigned. You are now ready for the next steps to determine the family eligibility and enrolling into the subsidized child care service program.
   2. If there are no potential matches found, CareControl will take you to a directly to the final step to create an enrollment case for the family. Specify the Funding Source which the family will be enrolling under.

      1. When selecting a specific Funding Source, the details for the enrollment case will differ for the program designation.
         

      2. When either the CDSS or Stage 1 Funding Source is selected, enter all necessary information required and available for the enrollment.
      3. Click Submit once done, which CareControl will redirect you to the newly created family record with the Family ID automatically assigned. The family details from the basic family, parent and child details will be captured in CareControl automatically using the application details from CareWait. You are now ready for the next steps to determine the family eligibility and enrolling into the subsidized child care service program.
