This article will cover how to add needs to a family, and how to create a needs assessment.
The Needs are the activities of the parent/guardian and the Needs Summary is used to assist with the care schedule creation. CareControl will combine all needs' schedules for the 1st parent/guardian, and overlap with the 2nd parent/guardian’s total activities to provide the final summary schedule as Certified Needs.
I. Entering the Needs
Once you are ready to start tracking the different activities or needs of the parent/guardian, access the Needs tab:

Under the Needs sub-tab, click Add → Select the appropriate Need Type
! Tip: Within the carrot icon is a start date filter that filters the view of needs to every entry with a create date of less than two years. If you do not see a need entry, remove the filter to see if it is hidden from view. -
This will open the Needs Details window to enter all pertinent details including:

Parent: select from the drop-down the parent/guardian whom the need is for

Start Date: select from the calendar or enter the start date of the needs

Schedule: there are 3 ways to add the Needs Schedule:

Manually:
-
Simply select the schedule type whether a set or variable schedule and enter the hours for all the days directly in the table grid.

Using the Template

If there is a needs schedule that is used commonly, a template can be configured for this commonly used schedule

Using the Calculator (Note: Option only available for Working and Training needs)

Fill out the Needs Schedule

Select if the schedule will be Set or Variable

Based on the need type selected different fields will populate to calculate the needs schedule such as:

Travel Time - The travel time to and from the needs entered, this is defaulted to 30 minutes.

Sleep Time - Any schedule with sleep required that will factor into the needs

Non-Paid Lunch Time - Lunch time taken out of work, that will factor into the needs

Once the information is provided, click the calculator under the Schedule to auto-populate the schedule

Other information, such as comments, if applicable:

For Working Information, add relevant Employer information such as Employer Name, Address, and Contact info

For Training Information, add relevant School Information such as Institution Name, Address, and Contact info.

Additional Information may be necessary to input based on the Needs Type of the Parent.

Click Save

Repeat the steps 1-3 to add more needs if necessary

Needs can be modified or voided by clicking on the need ID and edit

II. The Needs Summary
Once the Needs information is added, you can now add the Needs Summary. This step combines all of the Families Needs information into one schedule for childcare requirements.

Select the Sub Tab “Needs Summary”.

Click Add.

Summary Date - This will allow the user to select a date in order to view the needs correlating to the date picked.

Select the Needs that you want included with the Needs Summary, based on the Schedules input in the earlier tab.

Once date is selected click Run in order to show the needs that overlap with the date selected

Click Next

This will auto-populate the schedule with the needs information from the assess date

Schedule - Will default to set/variable based on the needs chosen. If needs have both set and variable, will default to variable

Can add times by clicking the + button.

Ability to use a Template with saved general schedules. This can be added/changed through the admin module.

Confirm the schedule shown and click Save

Once saved, you have completed creating the Needs and Needs Summary. You will now be able to continue to the next step of the family certification with adding the Incomes and Family Fees.
