Understanding provider statuses is key to managing records and ensuring only eligible, up-to-date providers are available for parent referrals. These statuses reflect the overall standing of a provider’s record within the CareWait system.
1. 🆕 New
The provider has been recently added to the system but has not yet been reviewed or activated by agency staff. This is typically the first step in the onboarding process.
2. ⏳ Pending
The provider’s record is under review or awaiting additional information.
For example, the agency may be waiting for the provider to submit their license information or complete required documentation.
3. ✅ Active
The provider has been approved and is now visible in the system.
They can:
Be matched to referrals
Appear in parent searches on MYCCN (if their profile is also published)
4. 🚫 Inactive
The provider is not currently active.
This could be due to:
Expired or missing license
Temporary or permanent closure
Agency decision to pause or remove access
Inactive providers:
Will not appear in search results
Cannot be matched to new referrals
Keeping provider statuses up to date ensures families are only connected with eligible, available programs.
