In order to increase efficiency with generating tasks, notes, and messages, CC4 has the option for agency administrators to add templates for commonly used wording.
Notes, Care Comments, and Messages
Due to the similar format of the three entities in this section, their template configurations are all housed under the same system setting simply labeled as "Template."
From this interface, you can see all existing entries and an Add button to be able to start creating your own. After clicking on this, you will be greeted by the screen below.
- Name: The label of this new entry that admin and users will see it appear as.
- Code: Any unique alphanumeric value that is not already the code of another row in this system setting
- Note Category: Only necessary for a Note template, which will decide the category a user will need to select to have this new template be selectable
- Order: Controls the order of which this new option will appear. Feel free to leave blank if this is unimportant
- Tag: Determines the type of template that is being made.
- Extent2: Primarily for MCT use. Please feel free to ignore.
- Extent3: Same as Extent2.
Once you fill in all the relevant fields, you can hit Save to complete the configuration. You should now be able to see your template as one of the items on the list. After clicking into it, we will now be able to access the Items subtab, which is where we can actually type in the message we would like selecting this option to populate with.
From there, you can select the Language of the template you are adding, create a subject line, and the actual content to now appear for all your users!
Tasks
Tasks have a separate System Setting dedicated to their custom templates, in order to allow for different categories than Notes. Navigate to "TaskTemplate" to get started.
Similar to the other entities, there will be a Batch Void, Batch Delete, and Add to use as needed. However, clicking add will show a simpler interface with only one tab of fields you will need to enter information for.
- Name: The name of the task
- Category: What task category is this for? By default, the choices will be Family, Provider, or Payment.
- Text Template: The message that this template should autofill in if selected.
From there, your new item will be selectable from the dropdown menu located in the formatting bar of the Content box when creating a new task!
