Adding a New School Calendar Template:
- In the Admin Module, search “School Calendar Template” located in the Family folder.
- To add a new School Calendar entry, select the Add button on the left side of the screen.
- The Name field will be the school name and school district name. This field will control the name of the School Calendar as it shows in the Follow a Template list in the Child Details tab.
Example: (School Name - District Name)

- In the Calendar tab of the School Template entry, select the Start Month that you will begin recording the school year dates.
- The End Month will automatically populate as 12 calendar months after the Start Month.
We recommend using July as the Start Month of the date range to reflect the fiscal year.
- The End Month will automatically populate as 12 calendar months after the Start Month.
- To populate the Calendar Month date range entered in the Start Month and End Month fields, select the Search button
- To record the school calendar days, click the calendar date that will be the first day of the school year and select Mark as School Day. From the new window, please enter the first day and last day of the school year in the Start and End dates respectively.
- Identify Holidays and Non-School Days by clicking the first day of the break period then selecting Mark as Holiday or Mark as Non-School Day. Both options have the same meaning in CC4, where the system will use the child's normal schedule when calculating payments.
- Mark as Holiday: This option will highlight an individual day in blue. It is recommended to use this process to record singular non-school day
- Mark as Non-School Day: This option will prompt the user to select a date range to identify as non-school days. It is recommended to use this process for extended school breaks. The Start Date and End Date fields will be used to identify the date range of non-school days.
- Mark as Holiday: This option will highlight an individual day in blue. It is recommended to use this process to record singular non-school day
- When all of the school calendar dates have been recorded, select Publish to save the changes you have made.
When entering an additional School Calendar year, select the same School Template entry and change the Start Month and End Month range to reflect the new school year entry.
Copying from an Existing School Calendar
CC4 enables you to easily copy over existing district calendars to modify for schools under said district. The Copy From function can be used when a School Calendar follows the majority of a district calendar, but may need some slight modifications.
- Identify that the School District Calendar that will be copied to the new School Calendar. For this example, a school under Grass Valley School District will be added.
- Follow the same steps for adding a New School Calendar Template, up to step 3. At this point, you will see the Copy From Button.
- After pressing this button, a new window will appear. Make the selections for the identified district calendar that will be copied, as well as the Start Month and End Month of the school year that will be copied.
- After pressing done, the calendar days of the district will be copied over to this new School Calendar. From here, the same process of editing when adding a new calendar will apply.
Entering a Bell Schedule Template:
- In the Admin Module, search “Bell Schedule Template” located in the Family folder.
- To add a new Bell Schedule entry, select the Add button on the left side of the screen.
- The Name field will be the school name, school district name, and track information. This field will control the name of the Bell Schedule as it shows in the Follow a Template list in the Child Details tab.
Example: (School Name - District Name - Track) - To enter the Bell Schedule times, click a day in the week table then enter In and Out times.
- To Save the Bell Schedule, select the Save button at the bottom of the schedule.
