Through the Admin module, your agency's Core Team will have full control over what are selectable reasons for generating a Notice of Action or Certificate of Enrollment, along with what text should populate when a certain one is selected. In order to get started, navigate to the "NOAReason" or "COE Comment" system setting.
From there, both will have near identical buttons and data fields, including a list of preexisting entries and buttons to Batch Void, Batch Delete, and Add a new row.
Please be advised that if you Delete a reason, any generated notices that may have had that option would show up as blank after the fact. If you would like to prevent something from being used in the future while still keeping its historical record, we recommend using Void instead.
After clicking Add, you will be greeted by the screen shown below.
- Name will indicate what this new reason should be labeled as and will show up as to your users.
- Code can be any alphanumeric value that has not already been used in this configuration list.
- Action will determine what process(es) this new comment applies to and should be an option for.
- Order decides the order in which this will appear in the dropdown that your users will select from and can be left blank if you are impartial to its placement.
After clicking Save, you can then find your newly created row in the available list and click back into it to now add any text you would want the system to autofill for your team.
From the newly accessible Items subtab, you will be able to view any added templates and their language. To get started with creating your own, click on the Add button.
Select the language you want this text to generate for and type the message that should be associated to this reason. Using the Add Template Elements, you can also put in fields that will automatically pull data from the record for you. See above for an example of setting the configuration up to use Parent A's name and the NOA's effective date. After saving, you should now be ready to test your new template by generating an NOA or COE!
