Depending on the family’s countable income, the family may be required to pay a family fee for their child care. This process will let us know if the family is income eligible and whether a family fee is applicable or not. The following article will guide you through the process of adding Income and calculating the Family Fee.
I. Adding Income:
Under the Income section, click Add to start adding a new income. Fill in the different fields include:

Type: Select who the income is for, parent or child

Name: Enter the name of the parent or child this income is for

Start Date: Enter start date of income

Income Source: Select the source of this income, such as wages, child alimony, etc

Income Type: Will automatically update based on the income source selected. This can be changed under admin settings

Monthly Income: There are 2 ways to enter the monthly income:

Manually enter the monthly income

Use the Calculator section on the bottom to have CareControl calculate the income

Calculator type: Select the type of calculator to be used

Standard Calculator
-
Paycheck Calculator
-
Cash Calculator
-
Self-Employed or Seasonal Calculator
-
Weekly Hour Calculation

Click on the Calculate button to automatically calculate the monthly income

Once this information is added, you will then click on Save

Follow steps 1-7 if additional incomes are needed to be added
(Note - If new income needs to be added, do not modify previous added income. Instead add a new income. Modifying income should only be used to provide an income end date, edit mistakes, or to void the income).-
If any information needs to be edited or if the income needs to be voided:

Click on the Income ID and select Edit to edit the information or void the income

II. Family Fee

Once you are ready to move on to the next step, access the Family Fee section:

Click on Add

You can use the Calculate option that CareControl provides to calculate the Family Fee based on the income previously provided:

Program: Select the correct program

Calculate Date: As of what date should the Family fee be calculated from
-
Effective month will be 19 days after date selected for the calculate date

You can add this information manually:

Program: Select correct program
-
Effective Month: As of what date should the family fee be calculated from

Family Size: Size of the family to be included in the calculations
-
Monthly Income: Monthly income based on the income from steps 1-2

Monthly FT Family Fee/Monthly PT Family Fee: The monthly full time/part time fee if applicable

If any comments are needed to be added, this can be done under the Comment field

Note - If new income is added, you will need to re-assess the family fee rate
-
Once saved, you have completed entering the Income and Family Fees for the family. You will now be able to continue to the next step of the family certification with Care Schedule Management
