Send and Receiving Document Overview
Returning Documents To Parents
After a parent submits a document, the case manager must verify the document and accept it to complete the document request process.
Receiving an Electronically Completed Document
On the Home module, there will be a button for Documents Received, where you can view all the documents submitted by parents of the families you are the owner of.
-
In a family’s “Documents” tab, enter the Pending subtab to view all Pending documents that you expect back from the parent. Clicking to open the preview window for each document will give you the option to send a reminder, download the document locally, cancel the document outright, or view its history:
-
Documents received from the parent will fill into the Received subtab and have their status changed to Received. Click on each one to view the document and verify if everything was filled out sufficiently; once done, click Accept or Reject after review to open up another window asking for the addition of a case note and message to the family options.
-
If the document is rejected, the status of the document will change to Rejected and fill back into the Received subtab. You will then be given the option to add a case note or send a message to the family to indicate what needs to be corrected. On the CareConnect side, the document will fill back into the Received tab for the parent to resubmit.
-
If the document is accepted, you will again view a popup to add a case note or message to the family along with the option to save the document into the Files tab in the family record. Make sure to add any appropriate tags to ensure document organization throughout the system.
-
-
Change any of the other fields as necessary, then click on the Done button to save the document into the family record. This will complete the document and change the status to Accepted, where it can be viewed from the All subtab.
❗️TIP: Selecting Cancel in the window above will still accept the document, but will not save it into the “Files” tab.
See Organizing Documents within the Files Tab on how to save a document you receive physically to the family’s electronic Files.
