Starting July 1st 2025, Licensed Centers have an updated Cost of Care Plus Rate. The rates for Licensed Home and Exempt Providers will remain the same and have been extended until June 2026.

This article will discuss how to update the new cost of care plus information within CC4. 

For the purposes of this article, the Start Date describes the first month in which the rate is applied. A Start Date of 6/2026 means the rate is applied for June and the payment calculated for June will use this rate.

The End Date describes the last month in which the rate is applied. An End Date of 5/2025 means the last month when this rate is applied is May 2025 and the payment calculated for May will use this rate.

New entries will need to be created for Licensed-Exempt and Licensed-Home providers. A third entry will need to be added for Licensed Centers which are receiving new Cost of Care Plus values. These entries should have a Start Date of 6/2025 and an End Date of 5/2026. 

Any existing entries that had the End Date of 05/2025 should remain unchanged. If you've already extended the dates of the old entries, they will need to be changed back to the end date date of 05/2025.

To add the new Cost of Care Plus entries: 

1. Navigate to the Admin Module
2. Search Other Program
3. Click Add

The new entry will include: 

1. Name - Both the Region and Provider Type for your COCP Rate
2. Code - A single string of letters and numbers that the system uses
3. Amount Type - select Set Amount
4. Amount - Enter the amount corresponding to your region and provider
5. Provider Type (Select one) - either Exempt, Licensed Home, or Center
6. Start Month - June 2025
7. End Month - May 2026
8. Provider County - Enter the different counties within the region.

Continue this for all COCP rates that are relevant to the area you serve. The Entries will be as follows:

Ex. Cost of Care Plus For Exempt Provider in Central California

Ex. Cost of Care Plus For Licensed Home Provider in Southern California

Ex. Cost of Care Plus For Licensed Center Provider in Northern California

Identifying Payments with Outdated Cost of Care Plus

Once configurations have all been successfully updated, there may be some payments for Licensed Centers from June Service Month that need to have their Cost of Care Plus fixed. In order to identify the full list, our team recommends to utilize the Payment Search, where you can specify Provider Type as Centers, Payment Start/End as June 2025, and Status to be Received/QA/Authorized. You will need to recalculate these IDs for the system to register the newly added values.

For June payments that were already exported, you can identify these by searching for Processed status instead. These will need to have adjustments created or will need to be Reverted altogether from the Export Batch screen.

To check whether COCP has been missed for a service month, please check the Missing Cost Plus Rate in the month report to view any payments that did not have COCP applied.

If you suspect COCP has been applied twice, please check the Double Cost Plus Rate in the month report to view payments within the same service month for the same child with COCP applied.
