The Application Status in CareWait helps staff and families know what stage of the enrollment process.
Application (Family) Status:
Status | Description |
New | New applications submitted by parents or added by staff |
Active | Actively waiting |
Need Review | When a parent makes an edit on an application, the application will go to “Need Review.” Once a staff member screens, can return to “Active.” |
Update | Active but needs an update by a parent. |
Under Review | Actively waiting but locked for the parent’s edit. Parents can still submit necessary documents |
Partially Enrolled | Application has at least one sibling currently enrolled with an active child still on the waitlist. |
Enrolled | No longer waiting because all children enrolled |
Closed | Not enrolled but no longer waiting, not eligible. |
Child Status:
Status | Description |
Active | Active waiting |
Pending | In the process of enrollment |
Enrolled | Enrolled |
Inactive |
Not enrolled No longer waiting (can be changed by age out system job too) |
Waitlist Status:
Status | Description |
Waitlist | The waitlist is active. |
Offer in Progress | An offer has been made to the family. |
Enrolled | The waitlist record has been enrolled. |
Inactive | The waitlist record is no longer active, or the child has aged out. |
Removed | The user removes the record from the waitlist. |
Enrollment (Offer) Status:
Status | Description |
Draft Offer | All offers created from waitlist tab will be created in the “Draft Offer” status. This offer will not be viewable by the parent. |
Offer Sent | An offer has been made to the family, and they can accept or decline in their parent portal. |
Offer Declined | Offer was declined either by a family or on behalf of a family. |
Offer Accepted | Offer was accepted either by a family or on behalf of a family. |
Enrolled | Offer was enrolled into Careconnect, contract was created/signed.. |
Inactive | Offer was made inactive by the user. |
Removed | Offer was removed by the user. |
Status changes can trigger automatic notifications to your parents.
There are a few key distinctions between Application Status and Child Status:
- Application Status reflects the enrollment status of the entire application, including all siblings.
- Child Status, on the other hand, refers to the status of each individual child.
- Changing the status of a child will not impact the overall status of the application. However, modifying the application status will affect the status of all children associated with that application.
Both Waitlist and Enrollment Statuses pertain to what parents can view in their parent portal. Parents can check their waitlist and enrollment statuses by navigating to the corresponding tabs in their MyCCN account.
