CareWait's newest feature offers the ability to create a waitlist for private pay agencies that do not utilize subsidy eligibility criteria. Using these waitlists streamlines enrollment, and allows you to easily view children who have been accepted onto the waitlist.
Based on Campus Child Care's criteria, in order for a waitlist to be created, the application fee must be paid. If the parent pays the application fee right away, the waitlist will automatically be created by the system.
If the family submits an application fee waiver request, the waitlists must be created manually. To do so, see the following steps.
1. Screen the application for a valid fee waiver request.
Based on Harvard's criteria, a staff member will need to view the application with a fee waiver request to determine if they qualify. Please see the article "CW 2.2: How to View/Accept a Fee Waiver Request".
Once the application's status has been changed to active, you are ready to create a waitlist spot for the family's application.
2. Navigate to the Enroll button on the top left-hand corner of the detailed application page.
Upon opening this popup, you will see a variety of information:
- Child(ren)'s name
- Child(ren)'s date of birth
- Child(ren)'s age
- Child(ren)'s gender
- Child(ren)'s preferred site
- Child(ren)'s site choice order
- If the child(ren) are on an active waitlist
- Site contact information/address
To add a child to all of their preferred site's waitlists, press the auto-enroll button. Then click save.
To prevent from adding duplicates, be sure to check if a child is already on an active waitlist.
A disclaimer will also appear, to ensure duplicates are not added to a waitlist if the child already has an active waitlist.
You can also search for other sites if you believe the family should be on another waitlist that does not exist on their preferred site list.
Navigate to the Search tab, to search all available site waitlists.
Enter the provider name or zip code you are looking for. Then press search.
Tip: If you would like to see a list of all available sites, press run with no search criteria.
Press the + icon under the Action column to manually add a waitlist. Then select save.
3. View Waitlists and Waitlist IDs
Once you have created these waitlists, they will appear under the Waitlist tab in the detailed application page. You can see the child's name the waitlist was created for, the site, and the waitlist status.
Each waitlist created will have its own unique Waitlist ID. You can click into the waitlist ID to get more information about the waitlist status. As well as other important enrollment information you may need quick access to.
4. Managing Waitlists
The waitlists you have created will appear under the "Waitlist Smartlist" tab in the application section.
