Understanding System-Assisted Referrals in CareWait 3
System-assisted referrals are an essential feature within the CareWait 3 platform, designed to streamline how parents search for child care and how providers receive those referral requests. This process ensures that both families and providers can connect more efficiently through the MyCareConnect (MYCCN) system.
What is a System-Assisted Referral?
A system-assisted referral occurs when a parent uses the Search Child Care Providers tool available on the MyCareConnect Landing Page.
During this search process, the parent is prompted to provide important information, including:
-
Ages of child(ren)
-
Child Care Location
-
Reason Care Needed
-
Weekly Schedule
-
Yearly Schedule
Once the parent completes this form and clicks "Find Child Care", the request is automatically logged in the CareWait system.
Where to View System-Assisted Referrals
In CareWait 3, these referrals appear under the System Assisted list in the Referral Requests section, which can be found under the Provider Services tab.
Each referral will display a unique Referral Request ID. When you click on this ID, you’ll be able to view the detailed family information under the Basic tab of the request record. This includes all the information the parent submitted during their search.
How Referrals are Tracked and Closed
CareWait also tracks parent engagement with provider profiles. If a parent clicks on a provider’s profile from within MYCCN, this action is logged as a search referral. That click becomes visible under the Referrals tab tied to the Referral Request ID.
Once a parent clicks on any provider profile, CareWait automatically updates the status of that referral to “Closed”, indicating that the parent has reviewed potential providers and the system has fulfilled its role in connecting them.
In Summary:
-
System-assisted referrals begin when a parent uses the child care search tool on MYCCN.
-
These referrals appear in the CareWait system under the Provider Services > Referral Requests tab.
-
Clicking on the Referral ID provides detailed family information.
-
Provider profile clicks are tracked as part of the referral process.
-
Once a parent clicks a provider profile, the referral is marked as "Closed."
This seamless process allows for faster, data-driven connections between families and care providers, ensuring no step is missed in supporting parents in their child care search.
