When your site has Vacancies, you will get Referrals (applications) from families. You will be notified that you have a new Referral by email. You can see all Referrals in your CareConnect account.
**As a good practice, please check the Referral Section at the end of every business day.**
Log in to your CareConnect Provider Account. Click the Marketing tab, then click Referrals.
To open a referral click on the Referral ID. New Referrals will have a New status.
The Basic tab shows referral information, when it was made, and any notes.
The Application tab shows all of the information that the parent has put into their application including attached documents.
In the Basic tab you can change the status.
**The status must be changed to keep the Referral**
Click Change Status.
Status meanings:
New → The application has not been looked at.
Active → You are looking at it, working with the parents, and reviewing the information.
Pending → Returned the referral to the agency. In this case, please add a note. (How to add a note will be explained below)
Waitlist → This family is on your waitlist.
Enrolled → This family has been enrolled.
**This will notify the parent that the application has been enrolled. To complete the process of enrollment please refer to the last steps of this article**
Inactive → The parent decided not to enroll in the program.
Removed → This is a duplicate application or this application needs to be withdrawn by the agency.
Note
To add a Note for agency staff click EDIT.
**It is good practice to put in your initials and date to keep track of communication in the notes**
Click SAVE.
Enroll
If you use CareConnect to manage you childcare program you can enroll the family directly into your account. Click on the Referral tab.
Click Enroll and follow the three-step process to enroll a student into your site.
Now you have successfully enrolled this family!
**Once you enroll the application remember change the referral status to Enrolled as well.**
